Event security software

Run your event security company from your phone.

Staffli fills your posts with licensed officers, keeps expired guard cards off the schedule, shows you who is on post and turns approved hours into invoices. Nelson, your AI staffing coordinator, handles the admin.

For event security companies staffing officers, stewards, door staff and crowd managers at festivals, stadiums, concerts, trade shows and corporate events.

The week before an event

Friday night, six stewards short.

A guard card expired. Nobody saw it.

Licenses live in a spreadsheet or a folder, and expiry dates get checked when someone has time. One officer on post with an expired card puts the contract at risk.

Saturday still has open posts.

Calls, texts and group chats, then chasing for answers. The same reliable officers get asked first and burn out, and a client change on Thursday restarts the loop.

Someone doesn't show at the gate.

Nobody knows who is on post until a supervisor counts heads. The client hears about the no-show first, and the replacement is found by phone, under pressure.

The client calls ten times.

How many are confirmed? Did everyone show? Then the timesheets arrive on paper, get disputed and get typed again for payroll and the invoice.

Other tools give you a schedule to fill. Staffli fills it, and your client follows along without calling.

What changes

Five things off your plate.

  1. Never deploy an unlicensed officer

Every post carries the licenses it requires. Staffli tracks each officer's guard card and its expiry date, reminds them before it lapses and keeps anyone whose license is missing or expired off the shift.

  2. Fill the weekend without the phone

Open posts go to your most reliable officers first, and Staffli keeps going until the shift is covered. Double bookings are caught before you confirm.

  3. Know who is on post

Officers clock in on site from their phone, so you see who is there without calling a supervisor. A no-show is caught early and the post gets covered.

  4. Clients book and follow without calling

Your client sends requests, sees the confirmed team and the staffing progress, approves timesheets and finds every invoice in a portal under your name.

  5. From shift to invoice

Pay and bill rates per post and per client, overtime and the margin of every shift. Approved hours become the invoice, synced to QuickBooks or exported to Xero.

Nelson, your AI staffing coordinator

He does the admin, you run the event.

Nelson works inside Staffli with your permissions. He acts instead of chatting, and nothing that commits people or money goes out without your go.

  • He turns a client's email into a booking.
  • He tells you before the weekend what is at risk: a post still open, a license about to expire, a client waiting for an answer.
  • He covers a late cancellation or a no-show.
  • You talk to him from your phone, by text or by voice.

Built around your company

Your name on everything, set up for you.

Your brand

The officer app, the client portal, the PDFs, the emails and the texts carry your name, on your domain. Your clients never see ours.

Your data

A database of your own, never shared with another company, and a full export whenever you want it.

Set up for you

Your officers, guard cards, clients, venues and rates are loaded before day one, then one named person stays with you, with 30 days where every adjustment is included.

Made for events, not static guarding.

Staffli runs short shifts at changing venues: festivals, games, concerts, shows. It does not run patrol tours, incident logs or lone worker checks. If your business is mostly fixed sites all year, we will tell you so on the first call.

Priced per active officer.

You pay for the officers who actually worked a shift, with unlimited admin seats. Setup, the officer app, the client portal and Nelson's coordination come with it.

FAQ

Questions security companies ask before switching.

Can Staffli stop us from deploying an officer whose license has expired?

Yes. Each post requires the licenses you choose, such as a guard card or a crowd management certificate. An officer whose license is missing or expires before the shift is kept off it, and gets a reminder before the license lapses.

We run on group chats and spreadsheets today. How hard is the switch?

We do it for you. Your officers, their licenses, your clients, venues and rates are imported before your first day. Officers keep their own phone and get the app under your company's name.

Do our clients see Staffli's name?

No. The client portal, the officer app, PDFs, emails and texts carry your brand and your domain.

Can clients approve timesheets?

Yes. Clients review and approve hours in your portal, so the invoice goes out on hours they already accepted.

What does the AI actually do?

Nelson, your AI staffing coordinator, does admin work inside Staffli: he turns a client's email into a booking, warns you about open posts and expiring licenses, and covers no-shows. He asks before anything that commits people or money.

Do you handle static guarding?

No. Staffli is built for event security: short shifts, changing venues, weekend peaks. It does not run patrol tours, incident reports or lone worker checks.

Does it work with QuickBooks or Xero?

Yes. Invoices sync to QuickBooks and export to Xero, with pay and bill rates set per post and per client.

How much does it cost?

Staffli is priced per active officer per month, with unlimited admin seats. The price is on the pricing page.
