Hospitality event staffing

Hospitality staffing software for agencies placing bartenders, servers and catering crews.

Catering and hospitality shifts are won or lost on certifications, punctuality and last-minute coverage. Staffli keeps every bartender's alcohol certification on file with its expiry date, releases shifts to your most reliable crew first, reaches them by SMS, verifies clock-in at the venue with a selfie, and turns the hours you validate into the client invoice.

What changes when you run on Staffli

Documents and certifications gate the schedule

TABC, RAMP, TIPS, food-handler and other documents live on the worker profile with expiry dates. A shift that requires a tag is only visible to workers who hold it, and you filter the roster by document status when staffing.

  • Expiry reminders to the worker and to you
  • Roster view by status: valid, expiring, expired
  • Uploads from the phone

Reach the crew by SMS, not by phone tree

Push notifications work until someone turns them off. On every send you choose push, SMS or both: open shifts, reminders before the shift, staffing nudges, last-minute instructions. Every message is logged with its delivery status, so nobody can claim they never got it.

Geofenced clock-in with selfie

Workers clock in on site with a location check and a live selfie. The clock record sits next to the hours the worker submits, so a gap is visible before you validate.

Client invoices from validated hours

Hours you validate become the client invoice: day and night rates, per-position overrides, rush and holiday premiums, sales tax by state, split billing when a shared crew serves several clients. Export to QuickBooks or Xero.

Included with every agency

One price per active worker. No modules to buy, no seats for managers.

FAQ

Questions about hospitality event staffing.

Does Staffli track alcohol-service certifications?

Yes. TABC, RAMP, TIPS and other documents are stored per worker with expiry dates and reminders. Shifts that require a tag are only visible to workers who hold it.

How does Staffli reduce no-shows on hospitality shifts?

Reminders on push and SMS before the shift, logged with delivery status, tiered release in waves so reliable workers are booked first, backups flagged on the shift, and a no-show penalty in the tier scoring.

Can clients request shifts themselves?

Yes. A client creates a shift request from their portal: date, venue, headcount, brief. It lands in your back office as a request you validate before it goes to your crew. They also see the team on site, full recaps and invoices, and declare when they have paid.

Do workers download a Staffli app or my agency's app?

Your agency's app. Staffli is fully white-label: the worker app carries your name, your logo and your colors, the client portal runs on your own domain, and your data sits in a dedicated database. Workers and clients never see the Staffli brand.

How is Staffli priced?

Staffli is priced per active worker per month. You only pay for workers who actually worked a shift in the last two months. Admin seats are unlimited, with no per-seat fees for managers. SMS is billed at 3 cents a message. The exact rate is on the pricing page.
