What is Staffli?
Staffli is event staffing software for owner-operated agencies in the United States. You get your own worker app, client portal, domain and database, configured around your agency by one named person. It covers programs with tiers and waves, SMS to your ambassadors, geofenced clock-in with selfie, worker documents with expiry dates, client invoicing with split billing and sales tax by state, recaps, a client portal where clients request shifts, a finance dashboard, and Nelson, an AI staffing coordinator: an AI agent who executes tasks from a text instruction.
Who is Staffli built for?
Event, promotional, brand ambassador and hospitality staffing agencies with roughly 3 to 10 managers and a pool of on-demand workers. If you sell staffed shifts to clients and currently run on spreadsheets, group texts or a scheduler that stops at the timesheet, Staffli is built for you.
How is Staffli priced?
Per active worker per month. You only pay for workers who actually worked a shift in the last two months. Admin seats are unlimited, with no per-seat fees for managers. SMS to workers is billed at 3 cents a message, all in, with a $30 monthly minimum for the carrier campaign. The exact rate is on the pricing page.
Do my workers download a Staffli app or my agency's app?
Your agency's app. Staffli is fully white-label: the worker app carries your name, logo and colors, the client portal runs on your own domain, and your data sits in a dedicated database. Workers and clients never see the Staffli brand.
How does Staffli reach my ambassadors?
On every send you choose push, SMS or both. Every message is logged with its delivery status. SMS costs 3 cents a message and Staffli files the A2P 10DLC registration so your texts are delivered as legitimate business traffic.
Can workers sign onboarding documents in the app?
Yes. Staffli generates each worker's onboarding documents, such as offer letters, contractor agreements and NDAs, and the worker signs them in your branded app with a verification code sent by email. Every signed PDF carries a timestamp and an evidence certificate. E-signature is included, with no DocuSign subscription, and Staffli alerts you before certifications like food handler cards or alcohol server permits expire.
How does time tracking work?
Workers clock in and out from the app. Clock-in only succeeds inside the venue radius and takes a live selfie as evidence; refused attempts are logged. Attendance is evidence, not the basis for payment: the worker submits hours from the shift card, you validate them with the clock record beside, and validated hours flow into the client invoice.
Is the client portal a paid add-on?
No. The client portal is included. Clients request shifts that you validate, see their upcoming shifts and the team on site, read full recaps with photos and KPIs, view their invoices, like the candidates you propose and message your team in one thread, all on your domain and under your brand.
Which payroll and accounting tools does Staffli export to?
Invoices export to QuickBooks, Xero or generic CSV, one row per line item, drafts excluded. A payment register exports to ADP, Gusto, Paychex or generic CSV for your provider. Webhooks cover other automations. You keep your accounting and payment stack; Staffli replaces the staffing operations layer.
How long does it take to switch to Staffli?
The setup is done before you log in: your domain and branding, your roster, clients and locations imported, your markets, positions, rates and recap templates configured by Staffli. You go live from day one as an installable app, then 30 days of hypercare where every adjustment is included. The plan is on the getting-started page.
How is Staffli different from the big staffing platforms?
Most platforms are broad and self-serve, priced per user, and expect you to configure them yourself and work the way they were designed. Staffli is set up for your agency by one named person before you log in, ships as your own app and client portal on your own domain with a dedicated database, is priced per active worker with unlimited admin seats, includes the client portal rather than selling it as an add-on, and builds the features you ask for.
Where is my data hosted?
In the United States, in a database dedicated to your agency. Data is encrypted in transit, you own it, and Staffli never resells it. The site and platform are CCPA compliant.
